An Advanced Shipping Notice (ASN) is an electronic pre-arrival shipment notice sent by a supplier to a buyer that lists what is shipping, how it is packed, and when it will arrive. In EDI X12, it is the 856 transaction and functions as a digital packing list supporting receiving preparation.
On the receiving dock, an ASN enables the warehouse management system to pre-stage dock doors, labor, and put-away tasks before the trailer arrives. When pallets carry license-plate identifiers, workers scan a pallet ID and post receipt directly into the system, eliminating item-by-item keying and reducing errors. In raw material tracking, the ASN matches inbound lots, quantities, and packaging to open purchase orders so materials can be reserved for production, cross-checked against specs, and routed to quarantine, inspection, or direct put-away. Dock scheduling benefits because the header usually carries carrier and arrival-time data, aligning inbound freight with line-side demand.
