Purpose

The primary goal of this SOP is to standardise the process of preparing and verifying an installation vehicle’s load before it leaves the warehouse. By following this checklist, teams eliminate missing‑item call‑backs, reduce cargo damage from improper securing, and maintain a consistent quality baseline for every field deployment.

Scope

This procedure applies to all mechanics, logistics coordinators, and installation leads who load materials into any vehicle (cargo van, box truck, flatbed) departing from the main warehouse. It covers both scheduled installations and emergency service runs. Excluded are daily warehouse inventory reconciliation and off‑site direct‑to‑vendor deliveries.

Safety Precautions
  • LOTOLockout/Tagout any vehicle lift gates, dock levelers, or pallet jacks before performing maintenance or adjustments during loading.
  • PPEWear CSA‑approved steel‑toe boots, cut‑resistant gloves, and high‑visibility vest at all times in the loading bay.
  • LIFTUse mechanical aids (pallet jack, forklift) for any item over 20 kg. No solo manual lifting of heavy equipment.
  • SECAll loads must be secured with ratchet straps rated for the gross weight. Never stack unsecured items higher than the vehicle’s internal load‑line.

Procedure: Step-by-Step
1 Review installation order and pick list. Cross‑reference the dispatch portal to confirm the full scope of materials. Flag any missing or substituted items with the warehouse supervisor.
2 Stage all materials in the loading zone. Use pallet jack or forklift to move crates, boxes, and loose items to the designated truck‑bay area. Arrange by weight and fragility per the loading plan.
3 Verify each item against the pick list. One person reads the list, the second scans barcodes or manually checks SKUs. Mark the manifest as verified. Note any damage or missing items for replacement.
4 Load heavy equipment first (generators, compressors, steel racks). Position against the forward bulkhead and secure with ratchet straps every 18 inches. Do not exceed the vehicle’s rated payload.
5 Place fragile items in padded compartments or foam‑lined shelves. Separate by dividers to prevent shifting. Secure with bungee cords or netting. Label any “FRAGILE” containers clearly.
6 Perform a final walk‑around inspection. Check all tie‑downs, confirm cargo net is deployed, and ensure no items overhang. The load‑out technician signs the manifest; the driver performs a secondary visual check and also signs. File the signed manifest in the job folder.
