This policy establishes a unified workflow for ordering warranty replacement parts from OEM suppliers and third-party distributors. It defines mandatory procedures for advanced exchange (stock-and-debit), core return deadlines, RMA documentation, and vendor credit reconciliation. The policy applies to all warranty claims processed through service centres, field technician dispatches, and depot repair facilities. Every warranty part order must be linked to a valid claim number and tracked through to core disposition. Non-compliance — including missing return windows or unsubstantiated charges — will result in chargebacks issued directly to the responsible cost centre. The objective is to reduce warranty parts spend by 22% year-over-year through tighter return compliance and automated vendor credit recovery.
This policy applies to all warranty parts procurement activities across the organization, including field service operations, depot repair centres, and authorized service partner networks. It covers any replacement part, assembly, or sub-component ordered under a manufacturer warranty obligation, regardless of dollar value. - All warranty parts orders must reference a valid claim ID and purchase order before release. Orders without a claim link will be auto-rejected at the system level.
