Policy Overview

This Social Media Policy defines the standards and responsibilities that all employees, contractors, and representatives must adhere to when using social media platforms — whether for personal expression or on behalf of the company. The policy is designed to mitigate legal risk, protect the organization’s reputation, safeguard confidential information, and promote responsible digital citizenship.

All team members are expected to read, acknowledge, and comply with this policy as a condition of employment. Failure to adhere may result in corrective action up to and including termination of employment.

Scope & Applicability

This policy applies to all individuals employed by or representing the organization, including full-time and part-time employees, independent contractors, interns, temporary staff, and board members. It covers all social media platforms — including but not limited to LinkedIn, Twitter/X, Facebook, Instagram, TikTok, YouTube, Reddit, and personal blogs — in both professional and personal contexts when the organization or its stakeholders are referenced.

Additionally, this policy extends to any digital communication that could reasonably be associated with the employee’s role at the company, including private accounts where the employee identifies their employer in their profile or bio.

Core Directives & Guidelines
  • CONFConfidentiality: Never share proprietary, financial, legal, or unpublished information about the company, its clients, partners, or internal operations. This includes data, roadmaps, headcount changes, and pending deals.
  • IDDisclosure: When posting about company-related topics on a personal account, you must clearly state that your views are your own and not those of the employer. Use a disclaimer such as: “Opinions are my own.”
  • RESPProfessional Conduct: Maintain a respectful, professional tone. Do not engage in harassment, discrimination, hate speech, or defamatory commentary. Treat all individuals with dignity both online and offline.
  • IPIntellectual Property: Respect copyrights, trademarks, and licensing. Do not use company logos, branding, or proprietary visuals without prior written authorization from the Communications department.
  • SECSecurity: Do not share passwords, internal system credentials, or access links. Report any suspected phishing, impersonation, or security breach immediately to IT Security.
  • DELDeletion & Correction: If you accidentally share something that violates this policy, delete it immediately and notify your manager and HR within one hour.
Roles & Responsibilities
  • Employees: Understand and comply with this policy in full. Exercise good judgment and common sense in all online interactions. Complete mandatory annual social media awareness training.
  • Managers & Supervisors: Ensure their direct reports are aware of and adhere to this policy. Escalate potential violations to HR immediately upon discovery.
  • Human Resources (HR): Own the policy lifecycle — including drafting, updating, training delivery, and enforcement. Maintain records of acknowledgment forms and manage investigation workflows.
  • Communications & Marketing: Manage official company social media accounts. Approve all brand-related content and provide guidance on messaging, visuals, and crisis response.
  • IT Security: Monitor for security threats and policy breaches related to digital platforms. Provide tools and protocols for secure account management and reporting.

Enforcement & Compliance Steps
1 Report — Any employee who observes or suspects a violation must report it via the internal compliance portal or directly to HR within 48 hours. Anonymous reports are accepted.
2 Investigation — HR initiates a confidential investigation within 3 business days. The investigation may include interviews, digital evidence review, and consultation with IT Security and Legal as needed.
3 Findings Report — A written findings report is submitted to the VP of People & Culture within 10 business days of the initial report. The report includes a severity classification (Minor, Moderate, Critical).
4 Corrective Action — Based on severity, corrective action ranges from a written warning and mandatory retraining (Minor) to suspension without pay (Moderate) to termination of employment and potential legal action (Critical). All actions are documented in the employee’s personnel file.
5 Appeal — Employees may appeal a corrective action in writing to the VP of People & Culture within 7 business days. The VP’s decision is final.
