Drop Shipping

Drop shipping is a retail fulfillment method in which the seller does not keep inventory on hand. When a customer places an order, the seller transmits the order to a third-party supplier who picks, packs, and ships the product directly to the customer. The seller never receives or stocks the item, and the supplier handles fulfillment and shipping.

Industrial Context & Application

On a manufacturing shop floor, drop shipping is used as a non-stocked fulfillment route for externally sourced or configured items. The finished good bypasses the seller's warehouse entirely and moves from supplier to end customer. In ERP, the sales order automatically triggers a supplier purchase flow or RFQ and routes the sales line as drop-ship, so the warehouse does not receive, put away, or pick the item. This reduces warehouse touches, inbound receiving load, storage space, and internal picking labor. However, it shifts control of lead time, order accuracy, and carrier performance to the supplier. In raw-material-heavy or MRO operations, the model matters when a distributor or OEM sells an item fulfilled from vendor inventory rather than internal stock. The key operational requirement is tight data synchronization among sales order, supplier availability, shipping confirmation, and customer-facing order status; otherwise the seller promises stock it does not physically hold.

Common Pitfalls & Failures
  • ⚠️Supplier stockout after sale: The seller accepts the order, but the supplier has already sold through the item or misreported availability, so the order sits unfulfilled. Relying on third-party inventory rather than controlled internal stock forces cancellation, backordering, or substitution.
  • ⚠️Hidden lead-time and carrier failure: The supplier controls picking, packing, and shipping, so late dispatches, missed cutoffs, or poor carrier selection create missed delivery windows. This becomes disruptive when MRO or production-related items are time-sensitive.
  • ⚠️Weak traceability and exception handling: Because the product never enters the seller's warehouse, receiving checks, lot verification, and damage inspection are bypassed. The result is invoice mismatches, returns sent to the wrong party, and quantity discrepancies.
Technical FAQs
Is drop shipping a warehouse process?

No. It is a fulfillment routing method that intentionally bypasses the seller's warehouse, with shipment moving from supplier to customer.

What ERP feature usually represents drop shipping?

A dedicated drop-ship route or multi-step route that generates a supplier procurement action from the sales order.

What inventory is recorded by the seller?

Typically no on-hand inventory for the dropped-shipped SKU, because the seller never receives the physical item.
