Purpose

To ensure every contractor working on site receives a consistent, documented safety orientation that covers site-specific hazards, emergency procedures, PPE requirements, and applicable safety regulations. This procedure minimizes liability, improves safety awareness, and provides a verifiable record of training attendance.

Scope

Applies to all contractor personnel entering active industrial, construction, or manufacturing worksites under Ryxen client operations. Includes tradespeople, subcontractors, delivery personnel, and site visitors requiring unescorted access. Orientation must be completed before any work begins and renewed annually or after any significant site hazard change.

Safety Precautions
  • LOTOConfirm all lockout/tagout procedures are in place for any energy sources that will be exposed during contractor work. Do not skip LOTO verification during orientation.
  • PPEInspectors must verify contractor PPE is CSA‑approved and in good condition before allowing entry. Require hard hat, safety glasses, high‑visibility vest, and steel‑toed boots at minimum.
  • HAZIdentify and communicate all chemical, physical, and biological hazards in the work area. Review Safety Data Sheets (SDS) for any substances contractors will handle.
  • EMRGEnsure contractors know the location of emergency exits, fire extinguishers, first aid kits, and muster points. Demonstrate the emergency alarm sound and evacuation procedure.
Required Tools & Materials
  • Site‑specific safety plan (SSSP) – current version
  • Contractor sign‑in sheet or digital attendance system (e.g., SafeDesk)
  • PPE inspection checklist and spare PPE (hard hats, glasses, vests)
  • Emergency exit map and muster point signage
  • WCB clearance letters for all contractor companies
  • Training records / safety tickets (WHMIS, fall protection, confined space, etc.)

Procedure: Step-by-Step
1 Review Site Safety Plan – Gather the current SSSP and confirm all hazard controls are updated. Verify that the plan addresses the specific work scope of the contractor (hot work, excavation, confined space, etc.).
2 Verify Contractor Credentials – Check that each worker holds valid, site‑appropriate safety tickets (WHMIS, fall protection, etc.) and that their company has a current WCB clearance letter. Photocopy or digitally scan credentials.
3 Conduct Hazard Walkthrough – Physically walk the work area with the contractor foreman. Point out overhead hazards, stored energy, high‑noise zones, chemical storage, and any exclusion zones. Use the SSSP hazard map as a guide.
4 Deliver PPE and Site Rules Briefing – Inspect each worker’s PPE. Review mandatory PPE zones, hearing protection requirements (if noise exceeds 85 dBA), and task‑specific PPE (e.g., welding screens, respirators). Explain site rules: speed limits, smoking areas, no‑phone zones.
5 Explain Emergency Procedures – Describe the emergency alarm signal (e.g., continuous horn), primary and secondary evacuation routes, and assembly point location. Show locations of fire extinguishers, first aid stations, and eye wash stations. Conduct a brief drill if time permits.
6 Obtain Sign‑off and Document Attendance – Have each contractor sign the attendance log acknowledging that they received the orientation and understood the content. Record the date, time, and trainer name. Store the signed log in the site safety file (digital preferred via SafeDesk).
