Purpose

To establish a consistent, auditable process for visitor driver identification, restroom access, and facility departure. This protocol reduces unauthorized access, ensures basic hygiene provisions are available to all drivers, and maintains a record of non-employee presence for safety and security. Every driver must complete the full sign-in/out cycle — no exceptions.

Scope

This SOP applies to all commercial vehicle operators delivering to or picking up from the distribution center. It covers the security gate interaction, visitor logbook procedures, restroom key fob issuance and return, and mandatory sign-out. Employees and regular contractors are covered under separate access protocols. This procedure is in effect 24/7 during facility operating hours.

Safety Precautions
  • TRAFFICWatch for moving forklifts, pallet jacks, and yard trucks at all times. Walk in designated pedestrian lanes. Do not cross behind reversing vehicles.
  • HYGIENEWash hands thoroughly after using the restroom. Use provided sanitizing wipes on the key fob before returning. Report any spills or unsanitary conditions immediately to reception.
  • ACCOUNTNever share or lend the key fob. Your driver logbook entry is the sole record of your presence. Signing out is mandatory — failure to do so will trigger a security escalation.

  • Company carrier identification or dispatch paperwork
  • Visitor logbook (paper or digital tablet at reception)
  • Numbered restroom key fob (issued by receptionist)

Procedure: Step-by-Step
1 Arrive at Security Gate. Stop at the security booth. Present your commercial driver’s license and any required carrier identification. Security will confirm your appointment and direct you to the visitor parking area.
2 Report to the Main Office Reception. Park in designated visitor spaces. Enter the main office and sign the paper or digital visitor logbook. Record name, company name, arrival time, and license plate number.
3 Obtain Restroom Key Fob. Present your signed logbook entry to the receptionist. They will issue a numbered key fob for the restroom access. Do not share or lend the fob.
4 Proceed to Restroom. Walk directly to the designated restroom (typically located near the break room). Use the key fob to unlock the door. Ensure the door closes and locks behind you.
5 Return Key Fob and Sign Out. After use, return the key fob to the reception desk in person. Sign out in the visitor logbook, recording your departure time. Do not leave the facility without signing out.
