Purpose

To standardize the installation of GPS telematics devices across all fleet vehicles, ensuring accurate real‑time location reporting, vehicle diagnostics capture, and reliable cellular connectivity. This SOP reduces the risk of faulty installations that waste field technician time and produce untrustworthy data for dispatch and maintenance planning.

Scope

Applies to all light‑duty fleet vehicles (vans, pickup trucks, SUVs) equipped with an OBD‑II port (1996+ model year). Covers plug‑and‑play OBD‑II devices, hardwired units with fused ignition power, and devices with external GPS or cellular antennas. Not applicable to heavy‑duty trucks using J1939 diagnostic ports or vehicles that share telematics with an existing factory system without module conflict verification.

Safety Precautions
  • LOTOEnsure vehicle ignition is in the OFF position and keys removed from the ignition during installation. If removing any battery or fuse panel covers, ensure no loose metal tools or jewellery contact live terminals.
  • ELECTDisconnect the vehicle’s negative battery terminal when making hardwired connections. Use a fused tap (10A max) and never pierce factory wire insulation with T‑tap connectors that could cause intermittent shorts.
  • PPEWear safety glasses during panel removal to avoid debris in eyes. Use cut‑resistant gloves when manipulating cable clamps or zip ties under the dashboard to protect against sharp edges.

Procedure: Step-by-Step
1 Prepare the vehicle and review device documentation. Park on level ground, engage parking brake, turn ignition off, and remove keys. Read the GPS device installation sheet — confirm OBD‑II pinout compatibility and whether an external antenna is required for the vehicle’s particular cabin construction (e.g., metallic windshield coatings).
2 Locate the OBD‑II diagnostic port. Typically under the driver‑side dashboard, near the steering column or fuse panel. Remove any access panel using a trim tool. Inspect the port for bent pins or debris; clean with a microfiber cloth if necessary. Take a photo of the port location for the asset log.
3 Connect the GPS device to the OBD‑II port. Orient the connector with the correct polarity (keyway alignment) and push firmly until it clicks. For devices with a detachable cable, plug the cable into the device first, then into the port. Use a zip tie to secure the device body to a nearby harness — do not let it dangle loosely.
4 Secure wiring and verify power. Set multimeter to DC volts. Measure between OBD‑II pin 16 (power) and pin 4 (chassis ground) — should read 12.0–14.8V. For hardwired units: attach the fused positive lead to a circuit that is switched (ignition‑on) using a fused tap; attach ground to a clean chassis bolt. Confirm LED power indicator on the device illuminates.
5 Mount the antenna (if external) for best GPS reception. Choose a location on the dashboard near the windshield with a clear view of the sky and away from heat vents. Clean the surface with alcohol wipe, then secure the antenna pad. Route cable behind headliner or A‑pillar trim, being careful not to block curtain airbags. For magnetic antennas, place on the roof centre interior.
6 Power on the vehicle and verify device LED status. Start the engine. Observe device LEDs: typically green = GPS lock, blue = cellular connected, red = power. Cross‑reference with the device documentation — if GPS LED stays solid after 2 minutes, lock is achieved. If blinking, move antenna closer to the window.
7 Validate GPS signal and cloud connectivity. Open the fleet management portal or mobile app under the project’s account. The vehicle should appear within 3 minutes with a valid location heading and speed (0 km/h). If the vehicle is marked “offline” or “no GPS”, recheck cellular data activation and GPS antenna placement. Perform a 200‑m test drive to confirm continuous tracking.
8 Finalize installation and documentation. Secure all loose cables with zip ties. Reinstall any removed panels, ensuring no wires are pinched. Record device ID (IMEI or serial number), vehicle VIN, OBD port location photo, and install date in the fleet management system or work order. Sign off with technician name and date on the physical copy.
