Purpose

To ensure accurate pre-installation site measurements are captured in a consistent, reproducible manner. This protocol reduces field rework by verifying critical dimensions, utility locations, and access constraints before equipment or materials arrive on site. Proper measurements enable efficient staging, reduce cut-and-fit time, and prevent costly last-minute change orders.

Scope

This procedure applies to all field installation technicians performing site surveys for HVAC, plumbing, mechanical, electrical, and structural equipment in commercial, industrial, and residential settings. It covers dimension verification, obstacle mapping, utility connection identification, and digital documentation requirements. Excluded: full structural engineering surveys or hazardous material assessments.

Safety Precautions
  • LOTOLockout/tagout all existing equipment that may be energized or pressurized before approaching measurement zones. Verify zero energy state with a qualified electrician or mechanic.
  • PPEWear CSA-approved hard hat, safety glasses with side shields, steel-toe boots, high-visibility vest, and cut-resistant gloves. Use hearing protection in noisy mechanical rooms.
  • HEIGHTSWhen measuring ceiling heights or overhead busways, use a stable ladder or scissor lift with fall arrest harness. Never climb on unsecured piping or ductwork.
  • ELECMaintain minimum clearance of 1 m from exposed live electrical panels. Use non-conductive measuring tools near electrical equipment. Do not cross tape measures across live bus bars.
  • SLIPBe aware of wet floors, cluttered aisles, and trip hazards. Keep work area clean and mark temporary measurement lines with contrasting tape.
Required Tools & Materials
  • Laser distance measurer (accuracy ±1/16" or better)
  • Measuring tape — 25 ft minimum; 100 ft recommended for large sites
  • Digital level (0.1° resolution)

Procedure: Step-by-Step
1 Review Project Scope & Blueprint — Before arriving on site, open the project folder in SiteQueue or your document viewer. Note all critical dimensions listed on the blueprint, any special installation notes, and required clearances from the equipment manufacturer. Confirm the type of measurement (new install vs. retrofit).
2 Conduct Initial Walkthrough — Perform a slow, deliberate walkthrough of the installation area. Identify access routes for delivering equipment, overhead obstructions (sprinkler heads, conduit, duct), floor drains, and existing utilities. Note any environmental conditions (temperature, humidity, confined space).
3 Measure Critical Dimensions — Using the laser measurer and tape, capture: floor-to-ceiling height (at multiple points), wall-to-wall distances, door opening widths and heights, clearance beneath beams, and any offsets around columns or pillars. Record all measurements to the nearest ⅛ inch in both imperial and metric.
4 Verify Utility Connection Points — Locate and photograph the following: main electrical panel (distance to installation zone), disconnect switches, plumbing stub‑outs, gas line terminations, data/network jacks, and HVAC duct openings. Use the SiteQueue GPS tag to mark exact coordinates of each utility point.
5 Mark Installation Coordinates — Using painter's tape or chalk, temporarily mark the equipment footprint on the floor. Lay out the footprint using the blueprint dimensions. Verify fit by measuring diagonals (ensure squareness) and cross‑checking against nearby walls and columns.
6 Document with Photographs — Take clear, time-stamped photographs of each measurement area. Ensure every photo includes a scale reference (tape measure or ruler visible). Capture overall room shots, close‑ups of utility connections, and any potential interferences. Upload photos to SiteQueue immediately.
7 Cross-Check Against Blueprint — Compare all recorded field measurements with the blueprint. Highlight any discrepancies greater than ¼ inch. Flag potential conflicts such as ducts passing through proposed equipment zones or insufficient clearance for service access.
8 Complete Digital Survey Report — Fill out the pre-installation checklist in SiteQueue. Attach all photos, GPS coordinates, and measurement tables. Submit the report for review by the project manager and installation lead. Do not dispatch installation crew until the report is approved and any red flags resolved.
