Purpose

To standardize the troubleshooting process for barcode scanners and mobile computers to minimize downtime, reduce operator confusion, and ensure accurate data capture in warehouse operations.

Scope

This procedure covers all handheld barcode scanners (including 1D/2D imagers) and mobile computers (Android/Windows) running warehouse management software (WMS) or inventory management systems. It applies to all warehouse associates and maintenance technicians.

Safety Precautions
  • LOTOEnsure the mobile computer or scanner is powered off before cleaning or replacing batteries/internal components. Disconnect any charging cables.
  • PPEWear an anti-static wrist strap when handling internal components. Use safety glasses if exposure to dust or debris during cleaning is expected.

Procedure: Step-by-Step
1 Perform a visual inspection. Check the scanner window for cracks, dirt, or smudges. Inspect the cable and connectors for damage, and verify the mobile computer screen is intact.
2 Clean the scanner window and camera lens. Use compressed air to blow off loose debris, then gently wipe with a lint-free cloth slightly dampened with isopropyl alcohol (≥70%). Ensure no moisture enters the device.
3 Power cycle the device. Remove the battery (if removable) or force a shutdown by holding the power button for 10 seconds. Reinsert battery and power on.
4 Test barcode scan. Open a simple text application (e.g., Notepad on Windows or a basic inventory app) and scan a known-good barcode (e.g., from a test sheet). Confirm the decoded data appears correctly.
5 Check connectivity to host system. For Bluetooth scanners, verify pairing status; for USB, check device manager or system diagnostics. Test with a different port or host device if possible.
6 Review WMS/software settings. Ensure the scanner configuration matches the WMS requirements (symbology, prefix/suffix, data formatting). Re-apply configuration if needed.
7 Replace battery or charge. If scanner is unresponsive or intermittently failing, replace the battery with a fully charged one. Test again.
8 Perform factory reset (if applicable). For mobile computers, perform a factory reset via settings menu (after backing up data if possible). Re-pair and reconfigure the scanner.
9 Escalate to replacement. If all steps fail, tag the device as defective and replace with a spare. Document the issue in the maintenance log.
