Serial Number Tracking
Serial number tracking assigns a unique identifier to each individual product unit and records that identifier at key inventory events, enabling traceability through receiving, storage, production, shipment, and after-sales activity. Unlike lot tracking, serial tracking follows one physical unit rather than a group, maintaining item-level history in transaction records and ledger entries.
In a manufacturing environment, serialized items are captured during receiving, work order issue, production completion, pick/pack/ship, returns, and adjustments, allowing the ERP or WMS to link each serial to movement history and current location. On the shop floor, a serialized component is scanned at kitting and then associated with a parent assembly, customer order, or warranty claim. Warehousing operations use barcode or RFID capture to treat each unit as a distinct record, improving cycle counting, shipping accuracy, recall isolation, and theft investigation. Systems like Dynamics 365 and JD Edwards formalize serial assignment through item tracking lines and configuration, with serials entered manually, selected from inbound receipts, or generated from number series. This creates traceability across procurement, production, and distribution, and allows historical inventory transactions to be traced by item and tracking dimension, including vendor serials.
- Receiving bottlenecks from manual serialization: When operators key in serials or reconcile supplier labels one by one, inbound processing slows and docks back up because the system requires serial capture before putaway or allocation can proceed.
- Duplicate or malformed serial masters: Without standardized number-series rules, label templates, or supplier serial acceptance, the same unit can be misidentified or rejected in the system, breaking traceability and creating inventory record errors.
- Unserialized exceptions during production or returns: When a serialized component is consumed, scrapped, or returned without capturing the serial at that transaction, the history chain becomes incomplete, weakening recall isolation, warranty validation, and auditability.
What data elements are required for a trace?
Microsoft's trace functionality requires the item number, a tracking dimension such as serial or batch number, and the direction of trace (forward or backward).
Can serials be assigned automatically?
Yes; Dynamics 365 Business Central supports automatic assignment from predefined number series or customized serial numbering, as well as manual entry of vendor-assigned serials.
How is serial tracking different from SKU tracking?
SKU identifies the product type, while serial number identifies one specific physical unit.
