Computer Workstation Ergonomic Assessment
A comprehensive guide to evaluating and adjusting computer workstations to prevent musculoskeletal injuries and improve operator comfort and productivity.
The purpose of this Standard Operating Procedure is to establish a consistent methodology for conducting ergonomic assessments of computer workstations in industrial and office environments. Proper ergonomic setup reduces the risk of repetitive strain injuries, improves operator well-being, and enhances long-term productivity.
This SOP applies to all employees who use a computer workstation for more than two continuous hours per day. It covers seated workstations, including desk height, monitor placement, keyboard and mouse positioning, chair adjustment, and lighting. It does not cover standing workstations or specialised equipment like drafting tables.
- Maintain a neutral spine alignment — head over shoulders, shoulders relaxed, and wrists straight. Avoid slouching or leaning forward during the assessment.
- Position the monitor to minimise glare from overhead lights or windows. Use blinds or task lighting to reduce eye strain. Never stare at a bright screen in a dark room.
- Take a micro-break every 30 minutes. Perform neck rotations, shoulder shrugs, and wrist stretches. Encourage operators to stand and walk for 2–3 minutes every hour.
- Secure all cables with cable ties or raceways. Keep walkways clear of power strips and cords to prevent tripping hazards. Verify that all electrical equipment is CSA-approved.
- Ergonomic assessment checklist (printed or digital)
- Tape measure (at least 2 m)
- Stopwatch or timer (for task observation)
- Adjustable chair (may be the existing operator chair)
- Height-adjustable desk or footrest
- External keyboard and mouse (for evaluation)
- Monitor arm or riser blocks
- Wrist rest (optional, for reference)

- Anti-glare screen filter (if needed)
