Standardized process for formally transferring a completed installation or project to the customer, ensuring all deliverables are verified, care instructions are clearly communicated, and digital assets are handed over with documented acceptance.
This SOP defines the standard procedure for conducting a formal customer handover at the completion of any installation or facility upgrade. The purpose is to ensure mutual acceptance of all deliverables, provide the customer with clear care and maintenance instructions, transfer all required documentation and digital access, and obtain a signed acceptance to close the project milestone. Adherence to this process reduces post-installation disputes, protects warranty conditions, and maintains professional accountability.
This SOP applies to all field installation technicians, project managers, and customer service representatives involved in the final delivery of an installation or equipment handover. It covers both residential and commercial projects including but not limited to HVAC, electrical, plumbing, security systems, and material handling equipment. This procedure should be followed regardless of project size, and supersedes any informal handoff practices.
- Before any final walkthrough, confirm all equipment is de-energized and locked out per company LOTO procedure. Only re-energize when safe to demonstrate functions.
- Wear appropriate PPE during the final inspection and demonstration – at minimum safety glasses and work boots. Gloves when handling any exposed edges or components.
- Ensure all system-specific safety documentation (MSDS, emergency shut-off locations, gas/electrical isolation points) is included in the handover package and reviewed with the customer.
- Handover checklist (company template, printed or digital)
- Digital camera or smartphone for photo documentation
- Laptop or tablet with internet access for digital signature
- Care and maintenance instruction packet (printed or PDF)
- Warranty documents and registration forms
- Login credentials, as-built schematics, and user manuals
