Purpose

This SOP defines the standard procedure for conducting a formal customer handover at the completion of any installation or facility upgrade. The purpose is to ensure mutual acceptance of all deliverables, provide the customer with clear care and maintenance instructions, transfer all required documentation and digital access, and obtain a signed acceptance to close the project milestone. Adherence to this process reduces post-installation disputes, protects warranty conditions, and maintains professional accountability.

Scope

This SOP applies to all field installation technicians, project managers, and customer service representatives involved in the final delivery of an installation or equipment handover. It covers both residential and commercial projects including but not limited to HVAC, electrical, plumbing, security systems, and material handling equipment. This procedure should be followed regardless of project size, and supersedes any informal handoff practices.

Safety Precautions
  • LOTOBefore any final walkthrough, confirm all equipment is de-energized and locked out per company LOTO procedure. Only re-energize when safe to demonstrate functions.
  • PPEWear appropriate PPE during the final inspection and demonstration – at minimum safety glasses and work boots. Gloves when handling any exposed edges or components.
  • DOCEnsure all system-specific safety documentation (MSDS, emergency shut-off locations, gas/electrical isolation points) is included in the handover package and reviewed with the customer.

Procedure: Step-by-Step
1 Conduct final walkthrough. Escort the customer (or authorized representative) through the entire installed scope. Use the handover checklist to verify each deliverable against the scope of work and purchase order. Point out any visible access panels, shut-off valves, or service points.
2 Demonstrate system operation. Walk the customer through normal startup, shutdown, and standby functions. Highlight all operator controls, safety interlocks, and alarm indicators. Allow the customer to perform one complete cycle under supervision and answer any immediate questions.
3 Review care and maintenance instructions. Present the printed or digital care packet. Cover: recommended service intervals, cleaning procedures, filter/fluid changes, and warranties. Emphasize actions that void warranty. Obtain verbal confirmation that the customer understands their responsibilities.
4 Transfer digital assets. Provide all login credentials (Wi‑Fi, app accounts, management portals), user manuals, as‑built drawings, and warranty cards. Use a secure transfer method – never send passwords via unencrypted text. Confirm receipt in writing.
5 Complete handover checklist and sign acceptance. Fill out the final acceptance form with the customer. Take timestamped photos of the installed equipment and any key condition notes. Both parties sign (electronic or wet signature). The signed form becomes the official project close-out record.
6 Close milestone in SiteQueue. Upload the signed acceptance form, photos, and any supporting documents to the project record. Update the milestone status to “Handover Complete” and notify the operations manager. This triggers warranty registration and final invoicing.
