Customer Site Key Access Management
A comprehensive standard operating procedure for managing key access to customer sites, ensuring secure and efficient entry for field installation teams.
This procedure standardizes the issuance, tracking, and return of physical keys for customer site access. It eliminates lost key incidents, prevents unauthorized entry, and maintains an auditable chain of custody for every site key in the fleet. Compliance with client security policies is enforced at every handoff point.
This SOP applies to all field installation technicians, project managers, and warehouse personnel who handle physical keys for customer sites under active installation or service contracts. It covers key storage (in‑shop and mobile), checkout/check‑in procedures, and emergency access protocols. It does not apply to digital access codes or electronic key fobs; those are handled under a separate credential management SOP.
- Before handling any key, verify that lockout/tagout procedures (if applicable) have been cleared by the site authority. Never bypass a lockout to retrieve a key.
- Always wear company‑issued photo ID badges when collecting or returning keys. On customer sites, comply with all signage and visitor protocols.
- Never leave keys unattended or in unlocked vehicles during transit. Use the mobile key pouch and lockbox system for secure transport.
- Locking key storage cabinet (fixed location in warehouse)
- Individual key tags with site ID and printed label
- Digital or hardcopy key checkout logbook
- Mobile key pouch (tamper‑evident) for field transport
- Company‑issued smartphone for digital log entry (if using SiteQueue)
- Flashlight and basic lockout equipment for emergency access
