Purpose

To establish a uniform method for collecting, organizing, and storing digital photographs at every stage of a field installation project. High-quality, properly titled photos serve as legal evidence, support quality audits, enable remote progress verification, and reduce the need for return site visits. This SOP ensures every technician captures the same critical angles and metadata, regardless of experience level.

Scope

This standard applies to all field logistics and installation personnel responsible for photo documentation of equipment deliveries, site conditions, installation progress, and final handovers. It covers residential, commercial, and industrial job sites where Ryxen field operations are active. The procedure includes preparation, capture sequence, file naming conventions, and uploading protocols. Excluded are aerial drone photography workflows and video documentation.

Safety Precautions

PPEWear required site personal protective equipment (hard hat, safety vest, steel-toed boots, safety glasses) while moving through work areas to take photos.
STOPNever climb ladders, scaffolding, or equipment solely to take a photo. Use a zoom lens or a telescoping camera pole from a stable surface.
SITERespect site access rules. Do not photograph restricted areas, personnel without consent, or proprietary equipment without client authorization.

Smartphone or digital camera with minimum 12 MP resolution

Scale reference object (e.g., standard colour checker card, calibrated ruler)
Spare battery pack or charging cable
Memory card with >32 GB free space or cloud sync enabled

Procedure: Step-by-Step

1 Prepare camera and checklist. Ensure camera/phone is charged, memory is sufficient, and lens is clean. Review the site-specific photo checklist (see scope). Load the checklist into SiteQueue or a PDF form.

2 Capture identifying shots. Photograph the job site address, building number, and any unique identifiers (lot number, unit tag). Include a wide shot showing context.

3 Document existing conditions (pre-work). Take overlapping photos of the entire work area, including floors, walls, ceilings, and adjacent equipment. Capture any pre-existing damage or obstacles.

4 Record each installation step. Photograph each major material arrival, unpacking, assembly, and attachment. Use a consistent angle and include a scale reference (e.g., tape measure or calibration card).

5 Capture final installation details. Take close-ups of connections, fasteners, labels, and serial plates. Then move to full-room views showing the completed installation in context.

6 Upload and archive. Transfer all photos to the project folder in SiteQueue or designated network drive. Rename files using the standard naming convention: [Project]-[Date]-[Sequence]-[Description]. Complete the digital log.
