Purpose

Provide a standardized method for maintaining accurate inventory levels across the field service fleet. The goal is to eliminate stock-outs, reduce excess carrying costs, and ensure every technician has the right parts and consumables when they arrive on site. This SOP links directly to kanban replenishment signals and the core MMFL (Min/Max/Full) inventory model.

Scope

Applies to all field service vehicles operating out of the main depot and regional hubs. Covers all stocked bin locations designated as "mobile inventory" under the MMFL model. Excludes bulk warehouse static stock and project-specific non-stock materials.

Safety Precautions
  • LOTOLockout/Tagout any vehicle shelving modifications or electrical component replacements before beginning work.
  • PPEClass 2 safety vest (high visibility) required when conducting vehicle inspections in yard or loading bay areas.
  • WtLmtNever exceed the maximum vehicle payload rating printed on the manufacturer's placard when restocking heavy components.
  • BioHazWear nitrile gloves and safety glasses when handling depleted batteries, chemical spill kits, or returned hazardous waste.
Required Tools & Materials

  • Min/Max threshold cards (laminated) for each bin location.

Procedure: Step-by-Step
1 Initiate Vehicle Count. Log into SupplyGrid (or equivalent inventory system) and select the specific field service vehicle (FSV) from the "Mobile Inventory" dashboard. Verify the vehicle's unique VIN or fleet number against the manifest.
2 Scan and Verify Bins. Open the first physical bin compartment. Scan the bin's barcode. Count the physically present quantity of each SKU. Record any discrepancies between the scanned count and the system's "On Hand" balance.
3 Compare to Min/Max Thresholds. Compare the counted quantity against the established minimum and maximum levels printed on the bin threshold card. Flag any SKU that has fallen to or below the "Min" line for immediate replenishment.
4 Identify Outliers and Damaged Stock. Set aside any items that are expired, damaged, or no longer serviceable for return to quality inspection. Remove these quantities from the "Good Stock" count immediately to prevent negative inventory levels.
5 Generate Restock List. Once all bins in the vehicle are counted, system-generate a pick list (or manually write items) containing only the SKUs flagged below their minimum threshold. This is the "Restock to Min" list. (Note: You are restocking to the minimum, not the maximum, to keep the vehicle lean).
6 Pick and Stage Restock. Go to the main warehouse and pick the exact quantities on the restock list. Stage the materials in a dedicated tote per vehicle. Verify the picked part number matches the restock list SKU.
7 Load and Confirm. Return to the vehicle and place each restocked SKU into its assigned bin. Use the scanning gun to perform a "Bin Confirmation" receipt transaction. This updates the On Hand quantity in real time.
8 Final Sign-Off and Cycle Count Update. Perform a final "Walk the Bay" scan to confirm all bins are sealed and labeled correctly. Submit the count sheet digitally or physically. The vehicle inventory is now certified for the next service route.
