Purpose

To eliminate theft, misplacement, and unauthorized use of field tools through a combination of physical asset tagging, mandatory digital check-out/check-in, and daily reconciliation. The SOP ensures every tool can be traced to a responsible technician within minutes, reducing annual replacement costs by at least 40%.

Scope

Applies to all hand tools, power tools, diagnostic equipment, and specialty instruments that leave the central toolroom to be used on field service or construction sites. Includes tools stored in company vehicles, gang boxes, and technician tool bags. Excludes consumables (bits, blades, fluids). All field technicians, mechanics, and warehouse personnel must comply.

Safety Precautions
  • LOTOBefore tagging any tool, verify it is de-energized and free of stored energy (pneumatic, hydraulic, electrical). Use lockout/tagout if tool is part of a machine.

Procedure: Step-by-Step
1 Assign tool tags — Affix a permanent, barcoded or RFID asset tag to each tool. Record the tag number in the inventory system along with tool description, serial number, purchase date, and current location (vehicle, gang box, room).
2 Log tools into inventory system — Enter each tagged tool into the centralized digital inventory (e.g., SupplyGrid). Categorize by tool type, location, and assigned technician. Set minimum quantity thresholds for consumable items.
3 Issue tools with sign-out — Require all tool check-outs to be logged: technician name, date, expected return time, and tool tag scanned. Use a digital sign-out terminal or mobile app. No tool leaves without a scan.
4 End-of-shift reconciliation — At the end of each shift, technicians must scan all tools back into inventory. Supervisor runs a discrepancy report comparing issued vs. returned tools. Investigate any missing items immediately.
5 Random spot checks and audits — Conduct unannounced daily spot checks of field vehicles and lockers. Perform a full cycle count every week. Compare physical tool presence to inventory records. Report discrepancies within 1 hour.
6 Disciplinary and corrective action — Document each lost or stolen tool. Apply a standard graduated discipline policy: first occurrence – written warning and retraining; second – suspension; third – termination and police report for theft.
