Quantity Accuracy
Quantity accuracy is the degree to which the quantity recorded in an ERP, WMS, or MES matches the actual physical quantity on hand, received, issued, or shipped for a given item, lot, bin, or order line. It focuses narrowly on count, weight, or volume discrepancies rather than item identity, location, or status.
On the shop floor, quantity accuracy is the bridge between transactional records and physical reality. When a storeroom clerk or line feeder checks a bin, the system number must match what can be counted or weighed; otherwise, a production order can be released against phantom inventory, stopping the line mid-run. In receiving, quantity accuracy is tested at the dock by comparing delivered pallets, cases, or scale weights against the purchase order or ASN, which flags under-delivery, over-delivery, and partial receipts before stock is made available. In raw-material tracking, accuracy must hold across every transaction—receipt, transfer, repack, issue, scrap, and return—because small discrepancies accumulate. Strong quantity accuracy depends on scan-based posting, consistent units of measure, controlled location changes, and immediate posting of adjustments. Common KPI formulations include accurately recorded units divided by total units counted, multiplied by 100, or supplier fill-rate measures like delivered quantity divided by ordered quantity.
- Phantom stock during production picking: The ERP shows enough raw material, but the bin is short because previous issues were overposted, unposted, or issued in the wrong unit of measure, stopping the line mid-run for nonexistent material.
- Receiving variance hidden by rushed GR posting: The dock team posts the purchase order as fully received even though the pallet count or scale weight is short. The shortage is later discovered during replenishment, causing downstream stockouts and supplier disputes.
- Unit-of-measure and repack errors: Material is received in cases, issued in eaches, and counted in kilograms or linear units without strict conversion control. System and floor counts diverge when the physical goods are present, creating false shortages or inflated availability.
Is quantity accuracy the same as inventory accuracy?
No. Inventory accuracy is broader and can include item identity, lot/serial, location, and status. Quantity accuracy is the quantity component of that broader control framework, focused specifically on count, weight, or volume discrepancies.
What is the most common quantity-accuracy formula in warehouse KPI reporting?
A common form is (Accurately recorded items ÷ Total items on record) × 100. Supplier-side quantity accuracy often uses (Delivered Qty ÷ Ordered Qty) or a variance percentage formula.
Why does quantity accuracy matter more in manufacturing than in generic retail stock?
