The Vehicle Maintenance Schedule for Installation Fleet is a reliability-centered maintenance (RCM) framework tailored to light- and medium-duty trucks, vans, and utility vehicles used for on-site service installations. The program assigns specific preventive maintenance (PM) tasks — daily driver checks, weekly fluid inspections, monthly tire inspections, and mileage-based oil changes, brake service, and driveline maintenance — with documented intervals based on OEM recommendations and real-world duty cycles. The program also defines a fleet availability target of ≥ 95%, a PM compliance goal of ≥ 98%, and a maximum repair cost per kilometer driven.

Scope & Applicability

This schedule applies to all company-owned and long-term lease vehicles assigned to installation crews, including cargo vans, bucket trucks, and service utility vehicles. It does not cover personal vehicles used for work (grey fleet) or heavy commercial vehicles (Class 7+). The program is mandatory for fleet managers, dispatchers, and installation team leads.

  • REQData input: Daily DVIR (Driver Vehicle Inspection Report) must be logged for each trip. Odometer readings must be entered weekly into the CMMS.
Roles & Responsibilities
  • Fleet Manager – Oversees program execution, reviews monthly KPI dashboards, authorizes out-of-cycle repairs. Ensures PM schedules are updated in CMMS.
  • Installation Crew Lead – Performs daily DVIR and reports any vehicle abnormalities before departure. Signs off on weekly fluid checks.
  • Service Technician (In-House/Outsourced) – Completes all PM tasks per schedule, records parts used and odometer readings, flags any recurring defects.
  • Dispatcher – Assigns vehicles based on availability status and ensures vehicles are not dispatched with overdue PM.
