Purpose

To provide a repeatable, safe, and efficient method for replacing the drive belt and lubricating the motor bearings of a belt‑driven restroom exhaust fan. Adherence to this procedure reduces vibration, prevents premature bearing failure, and maintains ventilation capacity. Proper belt tension and alignment also minimize energy waste and noise.

Scope

This SOP applies to all belt‑driven restroom exhaust fans rated ≤ 3 HP, single‑ or three‑phase, installed in commercial, institutional, or industrial washrooms. It covers V‑belt and notched‑belt types. Direct‑drive fans, variable‑frequency drive (VFD) retrofits, and units with sealed (non‑greasable) bearings are excluded and require separate procedure references.

Safety Precautions
  • LOTO Complete lockout/tagout of the fan disconnect switch. Verify zero energy with a voltage tester if applicable. Do not rely on wall switches alone.
  • PPE Wear safety glasses, cut‑resistant gloves, and hearing protection. Use a dust mask if debris is present inside the housing.
  • BLADE Secure the fan wheel from rotation with a C‑clamp or locking pin before reaching into the housing. The blade can rotate due to gravity or residual airflow.
  • LUBE Avoid skin contact with grease. Use a clean rag to wipe fittings. Dispose of rags and grease according to site waste management policy.

  • NLGI #2 polyurea‑compatible grease cartridge for grease gun
  • Clean rags and industrial degreaser
  • Lockout/tagout kit (padlock, hasp, danger tag)
  • 3/8‑inch drive socket set with ratchet and extensions
  • Screwdriver set (flathead + Phillips #2)
  • Belt tension gauge (force‑deflection type)
  • Feeler gauge set (0.001″–0.030″)
  • Adjustable wrench (for motor mounting bolts if nuts present)
  • C‑clamp or locking pin (blade securing)
  • Voltage tester (non‑contact or multimeter)

Procedure: Step-by-Step
1 Lockout/Tagout (LOTO): Open the fan disconnect switch. Apply padlock and hasp. Attach a danger tag. Verify zero voltage with a tester. Secure the fan wheel from rotation using a C‑clamp.
2 Remove Access Panel: Using a screwdriver or socket, remove the housing cover or access panel. Place fasteners in a magnetic tray. Set the panel aside.
3 Relieve Belt Tension: Loosen the four motor mounting bolts (typically ½″ or 9/16″) with a ratchet and socket. Slide the motor toward the fan shaft until the belt is slack. Do not remove bolts completely.
4 Remove Old Belt: Slip the belt off the pulleys. Inspect for cracking, glazing, or fraying. Discard belt per site waste guidelines. Clean pulley grooves with a rag and degreaser.
5 Inspect Pulleys and Alignment: Check pulleys for wear, wobble, or cracks. Using a straightedge and feeler gauge, ensure motor and fan pulleys are aligned within 0.5 mm parallel. Adjust motor position if necessary.
6 Lubricate Motor Bearings: Locate grease zerks on motor end bells. Wipe clean, attach grease gun, and apply 2–3 pumps of NLGI #2 polyurea grease. Rotate shaft by hand to distribute. Wipe off excess.
7 Install New Belt: Place the new belt over pulleys. Ensure it seats fully in grooves without twisting. Slide motor away from fan shaft to tension the belt.
8 Tension the Belt: Tighten motor bolts gradually. Using a tension gauge, adjust deflection to manufacturer spec (typically ¼″ per foot of span). Check belt seating visually.
9 Reinstall Access Panel: Replace the housing cover and torque fasteners to manufacturer specifications. Verify the cover seals correctly.
10 Remove LOTO and Test Run: Remove padlock, tag, and blade lock. Close disconnect switch. Jog the fan once, check rotation direction and noise. Run for 5 minutes, then measure motor current and compare to nameplate.
